Your new bookkeeper needs to know where the old bookkeeper finished, what still needs attention, and what happens next.

What Does A Bookkeeper Handover Involve?

If your business already uses cloud accounting software such as Xero, much of your bookkeeping history is already sitting in the file.

Your new bookkeeper will usually need access to the systems you use and a clear picture of where things stand.

A handover may include:

  • Xero and other bookkeeping access
  • Bank and credit card reconciliations
  • Payroll records and the next pay run
  • Super details
  • Unpaid supplier bills
  • Unpaid customer invoices
  • BAS or IAS work
  • Receipt systems such as Hubdoc
  • Current bookkeeping processes
  • Transactions that still need answers
  • Your accountant’s contact details

You don’t need a 50-page handover document.

The important part is knowing what’s done, what isn’t, and who will handle it from here.

A Good Handover Shouldn’t Become Your Job

This matters.

You’re changing bookkeepers because you want the bookkeeping to take less of your time.

A new bookkeeper will need some information from you. They may also need access to Xero, your bank feeds, or other systems.

However, you shouldn’t spend night after night trying to rebuild your bookkeeping history.

Keep your accounting records, receipts, payroll information, and other business documents.

The Australian Taxation Office says businesses generally need to keep most records for five years.

Keeping those records also helps your new bookkeeper understand what happened before they took over.

There’s no need to start from scratch.

Keep Your Accountant In The Loop

Your accountant should also know when you change bookkeepers.

They may already have a certain way they like the Xero file set up. They might also want reports prepared in a certain way.

Your new bookkeeper should respect that.

If there’s a backlog, your new bookkeeper may need time to clean it up. But that’s very different from staying with someone who never replies because changing feels too hard.
